Workspace subscription terms
Version: workspace-2026-09-20. These supplemental terms apply only to a new Team or Organization workspace subscription when its purchaser expressly accepts this version before checkout. Publication alone does not alter an existing subscription or an earlier agreement.
These terms supplement the general terms applicable to your account, available from Terms of Service. The named-seat, transfer and workspace provisions here govern the workspace purchase where they differ from personal subscription provisions. They do not change a separate $19 report purchase or $149 personal subscription. Accept only if you have authority to purchase for the organization.
1. Plans and named seats
| Plan | Monthly price | Seats | Active workflows | Departments |
|---|---|---|---|---|
| Team | $499 | 5 | 10 | One shared workspace; no new department creation |
| Organization | $1,500 | 25 | 50 | Up to 10 |
The owner, administrators, contributing members and viewers each occupy a seat. Outstanding invitations reserve seats. Each person uses their own account; credential sharing and resale are prohibited. Contributing members receive unlimited personal diagnostic submissions while workspace access is active. Viewers have read-only workspace access. Personal reports remain personal unless a user deliberately contributes selected findings.
2. Self-service features and responsibilities
Both plans include shared workflow evidence, assigned actions, completion evidence, dated observations, and weekly software review summaries. Organization adds department visibility, monthly summaries, repeated-action prompts, workflow CSV import and portfolio CSV export. Neither plan includes human advisory meetings, implementation consulting, verified savings, or guaranteed outcomes. You are responsible for checking AI output and obtaining permission to submit organizational information.
3. Renewal, cancellation and plan changes
The selected monthly amount is charged automatically each billing period until canceled. Stripe displays the total before payment. The owner can cancel renewal through Manage billing or contact support. Access continues through the paid period; cancellation alone does not delete records. There is no automatic prorated refund for cancellation partway through a period.
An upgrade to Organization uses Stripe confirmation and immediate prorated billing, shown before confirmation. A downgrade to Team starts at the next renewal and can be canceled before it takes effect. Reduce usage to Team limits first. If usage exceeds the new limits at renewal, new work may be restricted until limits are satisfied or an appropriate plan is restored; existing records are retained. A retained department following downgrade does not permit creating new departments on Team.
4. Owner, administrators and departing members
The owner manages billing and can propose transfer to an eligible administrator or contributing member. Transfer takes effect only when the recipient accepts. The previous owner becomes an administrator. The existing payment method remains until the new owner updates it; coordinate that change before handover. Removing a member removes access but does not erase their contributions from shared records.
Owners and administrators can access all workspace departments. Other members see workspace-wide workflows and departments to which they are assigned. Administrators can change memberships and visibility within their permissions. Use the role guide before sharing confidential information.
5. Retention, export and deletion
After paid access ends, authorized members can read retained records and download an individual workflow's evidence, actions and observations as JSON. Organization owners and administrators can export portfolio CSV. New work requires an active subscription. Retained records are not a guaranteed backup service; keep appropriate exports.
The owner can delete the workspace after canceling renewal and confirming its name. Deletion removes workspace content, membership, invitations, activity and queued notices. Minimal billing linkage and owner references remain to process late payment events and required records. Exported copies held by members cannot be recalled. Deletion does not automatically refund prepaid fees. For account deletion or other data requests, contact support; the Privacy Policy explains the broader retention rules.
6. Refund requests
Contact support within 30 days of the relevant charge with your account email and issue. The general subscription refund policy applies: if you cancel within the first 30 days of the initial subscription and have not generated a published report, a full refund of the first month's charge is available on request. Later periods used to generate reports are generally non-refundable. Report a material service defect to support for review. These supplemental terms do not reduce a refund or remedy required by applicable law or an earlier applicable agreement.
7. Changes and support
Material changes follow the notice requirements in the general terms applicable to your purchase; this document does not waive them. Email support.handoffdiagnostic@gmail.com or use the contact form for billing, access, privacy or service concerns.
