How shared workspaces work

Use a shared workspace to follow an investigation through to an assigned change and an observed result. This guide describes the current customer controls; the example below is fictional and is not a customer outcome.

Team: $499/month includes five seats and ten active workflows. Organization: $1,500/month includes 25 seats, 50 active workflows and ten departments. Both are self-service software. Review the subscription terms and data-handling overview.

1. Create a workspace and choose access

Open Team workspaces from your dashboard, choose the plan and create a workspace. Creation alone does not charge you. The owner reviews terms and proceeds to Stripe. After payment, Refresh billing checks the subscription. Invite colleagues as administrators, members or viewers. An invitation code is shared privately with the invited person, who must sign in using that email.

All roles and reserved invitations count toward seats. Personal reports are not automatically exposed to the workspace. A workflow with no department is visible throughout the workspace; a department-scoped workflow is visible to its assigned members plus owners and administrators.

2. Record the evidence

Create a workflow titled “Sales to delivery” with the objective “Understand repeated requests for missing scope.” In shared evidence, record an anonymized observation: “Three of five briefs needed exclusions clarified.” Identify this as a small, reported sample. Copy only the findings colleagues should see; do not paste the full private report by default.

3. Assign one action

Add “Test a readiness check on the next five comparable briefs,” choose a contributing member, and set a due date. Record completion evidence when the action is finished. Completed evidence is retained as the record of what was done; completing an action does not establish that performance improved.

4. Record baseline and follow-up observations

Use the same metric, unit, collection method and non-overlapping periods. For example, record median sending-to-acceptance hours, the number of observed handoffs, and how timestamps were collected. Changing any definition makes the comparison less useful. The product compares compatible observations; the difference is an observed change, not proof of causality or financial savings.

5. Review what still needs attention

The weekly progress review lists open, overdue and completed actions for the selected period. Organization adds month-to-date and previous-month executive summaries, department context, and repeated-action topics to review. These are software summaries, not analyst meetings. Optional emails contain a protected workspace link and can be turned off per member.

6. Export or hand over

Download workflow evidence, actions and observations as JSON on either plan, including after paid access lapses. Organization owners and administrators can download the portfolio CSV and import workflows using the displayed template. Imports require existing department names; an invalid import is rejected as a whole.

To change owners, the existing owner proposes a transfer and the recipient accepts billing responsibility. Update the payment method separately. Cancel renewal before deleting a workspace and export records you need first. Removing a person revokes access while preserving shared contributions.

When recurring access fits

The $19 report suits one bounded investigation. The $149 personal subscription suits repeated diagnostics. Team and Organization add coordinated follow-through and access controls. Choose based on the work you expect to repeat; unlimited reports alone do not make a recurring plan necessary.
