LEDGER CHECK / IMPORT GUIDE

Reconcile Stripe CSV records with explicit source references.

The free CSV tool explains balance movements and compares invoice payment evidence locally in your browser. The separate paid account imports Stripe data, creates localized accounting copies and posts balanced journals after configuration. Stripe remains the invoice issuer.

Start with the balance-transaction template

Required headings are id, type, currency, amount, fee and net. Optional headings are source, status, livemode and account. The id must identify one balance transaction. Status means available or pending funds, not charge success. Choose decimal amounts or integer minor units explicitly.

Download synthetic balance transactions. Other Stripe report layouts require column mapping before import. Maximum 5 MB and 10,000 rows per file.

Compare invoices with successful charges

Invoices template: id, currency, amount_paid, amount_remaining, status. Charges template: id, invoice_id, currency, amount, amount_refunded, status. Aggregate refunds once per charge. IDs must be explicit; the tool does not infer matches from customer names or equal amounts.

Successful charges with the same invoice ID and currency are summed and compared with invoice amount paid. Failed and pending charges are excluded. If the totals differ, review export coverage, customer credits, out-of-band payments and multiple payments before treating it as an error.

Why a paid invoice can still have a refund

The invoice amount paid is compared with gross successful charges, while refunds and retained receipts are shown separately. A full refund can leave processing fees behind. Retained receipts before fees are not profit or recognized revenue; credit notes and tax adjustments need separate review.

Why failed bank recovery is not another loss

A transfer and its reversal can offset each other. The negative balance that caused the recovery attempt may remain outstanding, but each failed attempt is not another fee. Inspect the original payout for its failure reason.

Partial exports, modes and currencies

Each import is scoped to one declared account and mode. Present account/livemode columns must match those selections. If absent, origin cannot be verified. Currencies are never added together. Missing linked records are flagged as outside the file's scope; they are not automatically missing financial records.

Does this generate VAT invoices or an accounting ledger?

The free CSV tool exports comparison summaries and exceptions, not accounting journals. The paid account supports English, German, French and Spanish PDF accounting copies, invoice and credit-note lifecycle changes, accountant-selected mappings, and balanced payment and reversal journals. US checks cover domestic record fields; UK checks cover domestic GBP, tax-exclusive, undiscounted taxable lines with explicit positive VAT rates. Neither product determines tax obligations, files taxes, or supplies mandated structured e-invoices. Retain the original issued Stripe documents.

Data handling

The free CSV tool processes CSV contents locally and makes no network calls for analysis. Closing the page discards imported values; downloaded reports remain on your device. Source strings are displayed as text, and text exports neutralize spreadsheet formulas. No API keys are requested by the free tool. Paid imports use an encrypted restricted Stripe key on our server. Optional automation stores encrypted document snapshots and journals for 90 days; source IDs remain reserved against duplicate posting until explicit deletion. Download and retain records for your required retention period.
